A good office Diwali lunch gives colleagues time to share a meal without leaving the organizer to solve queues, missing dietary meals and delivery access at the last minute. Start with how your team will gather, then choose food that works within that plan.
Mehfill has catered Diwali celebrations before. These ideas use our existing menus and packages, with practical suggestions for Toronto and GTA workplaces. For package choices and an event-specific enquiry, visit our Diwali office catering page.
Choose the office celebration date first
The Consulate General of India in Toronto’s 2026 holiday calendar lists Diwali on Sunday, November 8, 2026. Your office celebration can be on a nearby working day. Ask colleagues about availability before selecting the date, especially when people may be travelling or observing the festival with family.
A hybrid team might choose its regular in-office day. A workplace with shifts may need two serving windows or clearly separated meal allocations. For a lunch alongside speeches or activities, decide whether eating happens before, during or after the programme. An hour booked in the calendar is not necessarily an hour available for serving.
Send the proposed date, headcount and address early enough to confirm availability. Mehfill’s four-hour minimum notice for urgent requests is subject to availability; it is not a useful target for organizing a festival event with several approvals. The published weekday lunch framework below also needs confirmation for your chosen date, particularly for weekend celebrations.
Match the food format to the working day
| Format | Works well when | Planning detail | Mehfill minimum |
|---|---|---|---|
| Shared Indian buffet | The team can gather in one room for a proper meal. | Provide serving space, a clear queue and a plan for dietary portions. | 15 guests |
| Labelled individual meals | Breaks are staggered or meals go to several rooms. | Confirm meal counts and labels before ordering; boxed meals have no substitutions. | 10 meals |
| Cocktail snack package | You are hosting a short afternoon gathering after lunch. | Describe the invitation as refreshments; the package is a snack selection. | 15 guests |
| Live Chaat | Food is part of a longer social celebration. | Allow for station space, queues, venue approval and separately billed staff. | 25 guests |
For example, 50 colleagues with a short shared lunch break need a different service plan from 50 guests dropping into an afternoon celebration. In the first case, a buffet with an agreed release order or labelled meals may be simpler. In the second, a chaat station can become part of the gathering. Ask the caterer to review the busiest period, not only the total number attending.
Five Diwali catering menu ideas using existing Mehfill options
1. A festive office buffet with appetizers and dessert
Our suggested starting point is the Diwali Office Buffet — Deluxe Lunch. It uses the existing Deluxe Lunch package at C$19.99 per person before HST, with a 15-guest minimum. The framework includes two appetizer selections, two mains, one rice, one bread, one dessert, plus raita and salad.
For a balanced request, ask for a vegetarian appetizer alongside the second appetizer, then choose the mains around the actual dietary counts. A vegetarian-led menu can work for the whole table; a mixed menu needs enough suitable food for each group. Keep rice and bread easy to reach and place dessert after the main meal if that fits the agenda.
Choose the actual dishes with the team from the applicable catering menu. The package defines the number of selections; the final quote confirms the dishes and availability. See the Diwali buffet package details or request the Deluxe Lunch for your Diwali event.
2. A simpler shared lunch with one sweet finish
The Classic Lunch starts at C$13.99 per person before HST for at least 15 guests. It includes two mains, one rice, one bread, one dessert, raita and salad. This gives a small office a complete lunch without adding a separate appetizer course.
Use the included dessert as the planned sweet finish. Adding a second dessert, beverages or snacks may be worthwhile, but first identify what the package already covers. Put the event budget towards the elements colleagues will actually enjoy: sufficient suitable meals, a comfortable serving window and a clear invitation.
3. Labelled bowls for teams eating in shifts
Individual meals help when colleagues cannot all leave their desks or workstations at once. Mehfill’s boxed lunch menu includes a Chickpea Curry Bowl at C$16.50 with a vegan recipe; preparation and suitability still need review for the selected order. The Karma Bowl contains paneer and is vegetarian, not vegan.
Make a count by meal choice and distribution group. Labels are free, utensils are included, and the minimum is 10 meals. Bowls have no substitutions, so select a suitable existing option rather than assuming the kitchen can remove an ingredient. If you want a separate festive dessert, ask for it in the quote; do not assume buffet inclusions come with bowls.
4. An afternoon Indian cocktail snack selection
For a shorter gathering, the Indian Cocktail Box is C$9 per person before HST, with a 15-guest minimum. The per-person selection includes one vegetable samosa, one paneer tikka skewer, two vegetable pakoras and one mini aloo tikki, with mint and tamarind chutneys.
This is a vegetarian snack selection containing paneer, so it is not a vegan meal. It suits an invitation for afternoon refreshments. If the celebration crosses lunchtime or replaces dinner, plan a full meal instead of expecting this snack selection to fill that role. Confirm individual packaging if you need it. Drinks or sweets should be listed separately when requested.
5. A live chaat celebration with room to mingle
Mehfill’s Live Chaat package starts at C$50 per person before HST for at least 25 guests. It includes pani puri, bhel puri, samosa chaat and aloo tikki chaat, plus one light dessert and one beverage. The published dessert choices include gulab jamun, mango kesari, pineapple kesari and kheer; beverage choices include masala chai, coffee, badam milk and rose milk. Confirm your selections and dietary requirements.
Live catering uses a C$100 transportation, setup, teardown and equipment fee, replacing the standard C$40 delivery fee. Staffing is separate at C$18 per staff member per hour, with a three-hour minimum for each person. Confirm the full team and billed hours before comparing it with a drop-off buffet.
For an office, check whether the room permits the proposed setup and where guests can wait without blocking doors. Use the Live Chaat and Live Tandoor comparison and the venue-requirements guide before committing to a station.
Plan for dietary needs before finalizing the menu
Ask for dietary requirements without assuming them from a colleague’s background or whether they celebrate Diwali. Collect the number of vegetarian, vegan, Jain and other requested meals, and pass allergy concerns to the catering team for review. Ask about preferred spice levels separately.
Vegetarian food can contain dairy; paneer and raita are examples. A vegetarian menu is therefore not automatically suitable for vegan guests. Jain requirements also need an explicit conversation about ingredients and preparation. Mehfill serves halal meat, and the chef confirms ingredients, preparation and cross-contact considerations for each selected order. The kitchen is not presented as allergen-free.
For a buffet, agree how suitable portions will be identified and kept available for the people who need them. Labels, serving utensils and the room layout belong in that discussion. For individual meals, match confirmed choices to the distribution list. Read the dietary options and review process before making suitability promises to colleagues.
What could Diwali office catering cost for 25, 50 or 100 guests?
These examples use three existing weekday office packages, standard GTA delivery and 13% HST. They illustrate different menu levels, not a discount ladder or a requirement to change packages at a particular headcount. All figures are Canadian dollars. Your requested date, menu and final scope need a written quote.
| Example | Per person | Food | Delivery | HST | Total |
|---|---|---|---|---|---|
| 25 guests · Classic Lunch | C$13.99 | C$349.75 | C$40.00 | C$50.67 | C$440.42 |
| 50 guests · Deluxe Lunch | C$19.99 | C$999.50 | C$40.00 | C$135.14 | C$1,174.64 |
| 100 guests · Corporate Lunch | C$24.99 | C$2,499.00 | C$40.00 | C$330.07 | C$2,869.07 |
The Corporate Lunch example includes three appetizers, three mains, two rice selections, one bread, two desserts, raita and salad. All three packages start at 15 guests. The examples exclude separately requested servers, equipment, drinks and other additions. Standard delivery includes drop-off setup; it does not mean a staffed lunch service.
To adapt an example, multiply the selected package rate by your confirmed headcount, add the applicable delivery and extras, then calculate HST. Build a delivery and serving plan around your building
For a downtown Toronto office, confirm the loading entrance, security sign-in and elevator booking. For a GTA business park, provide the correct building and receiving door as well as the street address. Multi-floor teams should decide whether food is collected centrally or distributed by an organizer. These details can matter more than adding another dish.
- Before confirming: share the date, address, guest count, meal window and dietary counts. Agree the format and budget with the person approving the purchase.
- Before the event: confirm delivery access, a reachable receiving contact, table space, serving equipment, invoice or purchase-order requirements and cleanup responsibilities.
- At the final confirmation: check the menu and headcount. Standard policy calls for both at least 24 hours before the event; urgent exceptions require confirmation. No deposit is required, and final payment is due one day before the event.
- On the day: have the receiving contact ready, check the delivery against the agreed order and identify dietary meals before inviting colleagues to serve themselves.
Use the office lunch catering checklist for the practical handoff and the delivery and setup page for current service terms.
Small decisions that prevent common problems
- Inviting people for lunch but ordering only snacks. Match the menu to the invitation and time of day.
- Counting a package’s included dessert twice. Check inclusions before adding sweets to the budget.
- Leaving one vegetarian dish to cover several different diets. Confirm suitability and quantities by requirement.
- Choosing a live station for a very short break. Review peak demand, space and staffing before choosing the format.
- Planning delivery for the moment speeches begin. Agree a handoff and setup window before food is needed.
- Assuming festive styling is included. Decorations in inspiration images are ideas; food, equipment and any other supplied items must appear in the agreed scope.

More office Diwali catering questions
Does an office Diwali menu have to be entirely vegetarian?
Ask the people organizing and attending the celebration. A vegetarian-led spread is one useful option, but the final menu should reflect the team’s preferences, dietary requirements and event arrangements. Confirm vegan, Jain and allergy needs individually rather than treating them as interchangeable.
How can a small team make the lunch feel festive?
Choose a shared meal or labelled bowls that suit the group, leave time to eat together and plan a sweet finish within the agreed order. A thoughtful invitation and a welcoming table can do more than an oversized menu. Check the relevant minimum: 15 for standard catering and finger-food packages, 10 for boxed meals.
Can we use a weekday lunch package for a weekend Diwali celebration?
Use it as a starting point for your request. Mehfill confirms date availability, the applicable menu and pricing in the quote. The weekday examples in this guide do not establish a guaranteed Sunday festival rate.
Should we order extra meals for uncertain attendance?
Share both the expected count and the uncertainty with the caterer. Agree a final quantity and update deadline; there is no single extra-food percentage that fits a short buffet, individually allocated meals and a live station equally well.
