How to Plan Diwali Catering for Multiple Office Shifts

Turn one company headcount into a workable shift-by-shift catering plan with separate quantities, service windows, dietary meals, receiving contacts and handoffs.

Need catering, not just ideas?

Move from inspiration to the actual event scope.

Mehfill can confirm menu, service style, availability, and logistics once the date, guest count, and venue are known.

A workplace catering spread can support a shared meal period; separate shifts still need their own counts, timing and handoff plan.

A multiple-shift Diwali meal is not one office lunch with a larger headcount. The day, evening and night teams may eat hours apart, use different entrances, have different supervisors and need different meal formats. The most reliable starting point is to plan each shift as a separate service window, then combine the details into one event brief and written quote.

This guide focuses on allocation, timing and handoff. For broad menu inspiration, use Mehfill’s Diwali catering ideas for offices. For current packages and an event-specific enquiry, use the corporate Diwali catering page.

Start with a meal roster, not the payroll total

The company headcount is rarely the catering count. People may be off, working remotely, attending training, leaving before the meal or moving between shifts. Some employees may observe Diwali away from work. Ask each shift lead for the number expected to eat during that shift’s actual meal window.

Build one row for every Diwali meal period
Shift detailWhat to recordWhy it matters
Meal countConfirmed or estimated people eating during this windowPrevents an even split that ignores actual attendance
Break windowWhen people are released and how long they haveShows whether a buffet queue or individual distribution is practical
Dietary countConfirmed vegetarian, vegan, Jain and other disclosed requirementsKeeps suitable meals attached to the people who need them
LocationBuilding, entrance, floor, room or work areaClarifies whether one receiving point can serve every team
Shift ownerName and mobile number of the onsite receiverGives each handoff an accountable contact

Keep uncertain attendance visible as a range rather than silently padding every shift. Share the expected count, the possible high count and the date when the final quantity will be known. Mehfill’s written quote confirms the final quantity and any applicable update deadline.

Treat the serving window and delivery window as different times

A 7:00 p.m. break does not automatically mean a 7:00 p.m. delivery. The receiving contact may need time to meet the driver, clear security, reach the correct floor, check labels and arrange the food before colleagues are released. Work backwards from the first person eating.

  1. Write the eating window: when the shift can actually stop and eat.
  2. Allow for internal setup: the time the coordinator needs to receive, check and place the order.
  3. Confirm building access: loading door, security desk, elevator, parking, badge access and after-hours rules.
  4. Agree the catering handoff: the requested arrival window and the person authorized to receive it.
  5. Keep a fallback contact: name the supervisor or facilities contact to call if the first receiver is unavailable.

Do not promise colleagues an exact serving time until the final quote confirms the applicable delivery or service arrangement. A request for several timed handoffs needs explicit review; it is not implied by ordering one larger quantity.

Choose the service format for each shift

Different shifts can use different formats when the room, break length or team size changes. The goal is consistent inclusion, not necessarily identical presentation.

Match the format to each shift’s working conditions
FormatUseful whenShift-planning questionCurrent Mehfill starting point
Shared buffetA team has a common break and suitable serving spaceCan everyone move through the line within the break?Standard catering starts at 15 guests
Labelled individual mealsBreaks are staggered or meals go to separate departmentsWho controls the distribution list and unclaimed meals?Boxed meals start at 10 meals
Finger foodThe celebration is a short refreshment break rather than a full mealDoes the invitation clearly describe snacks, not lunch or dinner?Finger-food packages start at 15 guests
Live serviceOne larger gathering has enough time, space and venue approvalDoes this work for the peak arrival pattern and operating rules?Approved live formats start at 25 guests

A shared buffet may suit the largest daytime team, while labelled meals may work better for an overnight crew released in smaller groups. That difference should be written into the enquiry. Do not assume buffet dishes, boxed meals and live packages have interchangeable inclusions or prices.

Assign dietary meals by shift before the event

Do not place every special meal beside the first service window and hope the right people find it later. Record dietary requirements against the shift or distribution group, confirm the chosen dishes with Mehfill and decide who will protect and hand out the labelled meals.

  • Separate vegetarian, vegan and Jain counts; these terms are not interchangeable.
  • Send allergy-related questions for dish-level review instead of promising that a menu is allergen-free.
  • Keep labels visible and use separate serving utensils where the confirmed plan calls for them.
  • Tell the second and third shift leads exactly which meals are assigned to their teams.
  • Escalate late changes through the event coordinator rather than swapping labels onsite.

Mehfill serves halal meat and offers vegetarian, vegan and Jain menu directions, but ingredients, preparation and cross-contact considerations still need review for the selected order. The dietary planning page explains those boundaries.

Give every shift a named receiving and handoff plan

A catering plan can fail inside the building even when the order reaches the address. Daytime reception may be closed for the night shift. A loading entrance may lock after business hours. One floor may require a badge that the evening supervisor does not have.

For each handoff, record the full address, building name or unit, entrance, floor, room, loading or parking note, security instructions, receiver’s name and reachable mobile number. If one organizer receives everything, write down who takes responsibility when that organizer leaves.

Also decide who supplies the serving tables, checks the delivered quantities, identifies dietary meals, announces that food is ready and handles cleanup. Standard delivery and separately staffed service are not the same scope. Review the delivery, setup and staffing terms before describing the plan internally.

Should multiple shifts use one delivery or separate deliveries?

There is no universal answer. Ask Mehfill to compare the requested timing, food format, building access and total scope. A single delivery may simplify receiving when meal windows are close and the workplace has an appropriate confirmed plan for later distribution. Separate deliveries may better match widely separated shifts, but availability, fees and the exact service must be quoted rather than assumed.

Do not publish an internal instruction to leave food out, reheat it or hold it for a later shift unless the caterer and your workplace’s responsible staff have confirmed that plan for the selected dishes and facilities. The safest article-level advice is operational: disclose the full gap between delivery and eating, describe available equipment and ask for written handling instructions.

Multiple-shift Diwali catering checklist

  1. Choose the workplace celebration date and an alternative.
  2. List every shift or meal period separately.
  3. Collect an eating count and dietary count for each period.
  4. Record the exact break window, not only the shift start time.
  5. Choose a preferred format for each group: buffet, labelled meal, snack or approved live service.
  6. Map the entrance, floor, room and after-hours access for each handoff.
  7. Name one receiving contact and one fallback contact for every window.
  8. Decide who checks quantities, protects labelled meals and announces service.
  9. Share invoice, purchase-order and internal approval requirements.
  10. Ask the quote to confirm final quantities, delivery structure, setup, staffing, fees, taxes and any handling instructions.

For larger teams, pair this checklist with the 25, 50, 100 and 200 guest catering guide. Use the number eating in each window—not only the company total—when assessing queues and service needs.
